This is the thread for all lessons we learn from mistakes on the phone plus phrases that are taught so our future selves and successors don't need to have panic attacks when they answer the phone. Today I learnt that you say 少々お待ちください when they other party ends their request with a question mark and immediately transfer to someone else before you really start to panic. other more properly useful tips include saying 失礼しますが、to prompt them to give their name and company etc again. what can you contribute to this thread? Wouldn't it be improper to say that your co-worker will ご連絡 since ご is the honorific, or is this just one of those polite but incorrect Japanese phrases that get used commonly?

I know the answer to this one!!! At ken orientation we had a CIR-specific langauge class, and this was one of the things we were taught.
For just a few words, it's okay to put ご even if you (or your coworker) are doing the action, because it's being done for the other person's benefit. The three main words he mentioned were 報告, 連絡, and 相談. (通知 and 説明 are also okay sometimes, he said).
On the other hand, things like 質問, 依頼, and 要望 are for your own benefit, so you would not use ご with them.

i just ask people like
"どうされますでしょうか?" and then i don't have to prompt them with anything. if i say "shall i take a message?" then they're gonna give me a message and idc
usually they're just like "we'll call back later" and i'm like "damn right you will *CLICK*"

I hate taking 伝言 cause they get super long and SENMONYOUGO-y really fast. As for polite and formal language, I end my sentences with 敬語 but I hardly ever remember to 恐れ入りますが or 申し訳ありませんが and honestly, if they have a problem with that then the easiest solution is for them to a) teach me the proper way to do it themselves or b) stop letting me answer the phone. I am a hardcore fan of asking them their name again though haha. I always don't catch it on the first try. Usually I say お名前はもう一回伺ってもよろしいでしょうか。

We have two phone threads so I was debating which one to post in but this one was newer so... I finally finally managed to say 恐れ入りますが instead of すみません or ごめんなさい when I couldn't catch somebody's name, yesss. This is something I have been trying to do for forever (because it sounds more polished) but it never comes to mind fast enough so the fact that I did it today without even thinking about it is a small victory for my 電話対応。 (以上です。)

Does anyone have tips for hearing and understanding Japanese people's names? I feel like they always mumble or purposely say it really quickly, and then I feel like a jackass when I have to ask them to repeat their name a billion times.
I know how to politely ask, and asking is better than one of my coworkers being like, "How do you not know who wants to talk to me?", but it's still really annoying. I have to ask at least once like, 80 percent of the time.

I have to ask at least once like, 80 percent of the time. i'm certain this never gets easier. what i would suggest is get really good at asking for their name again (maybe even slowly) some people will suggest being like "hue i am GAIKOKJIN can you say it at retard speed please" but that's up to you. i hear my coworkers unable to make out the name, so try shoot for either their name OR what 団体・課 they are calling from. half the time they will know who's calling anyway. i think it's fair to ask for their name, but i understand it can feel awkward too. learning set phrases like 「恐れ入りますが、*お名前もう一度お願いできますでしょうか」 and getting that practiced so it comes out naturally will take away precious brain resources from thinking of what you need to say and screwing up, and more importantly, thinking about what you just said when they're now saying their name again. (*at this very moment in this post i took a call, didn't understand a single word cos it was a 内線 and he calls all the time, but i was just like "。。。すみません、もう一度お願いします" and he said it and it was fine) tl;dr - it doesn't get easier, and people won't realise you're a foreigner who is having difficulty understanding, so just get really good at asking for their name.

Also because you never know WHO is exactly calling you on the phone (someone you may have met or not), they may or may not know you even if it's 内線 so you want to just stick to a 無難 route? (I do not have a surname so it's the same for me wherever ^^

I use my first name because that's what everybody here calls me and my supervisor pointed out that if I used my last name people might not know who I was.
At my new company I plan to use my last name only though (gonna try and have them call me by last name instead of first too, I think).

At my new company I plan to use my last name only though (gonna try and have them call me by last name instead of first too, I think). i do that in my current company the catch in that is that because im in the international business department, im introduced to people outside of japan as my last name and sometimes even though i tell them my first name people insist on calling me by my last name (which makes it seem super 硬い) also when calls come in asking for me with my first name it might be confusing for my japanese coworkers (although people usually just transfer it over when they hear english) #gaijinproblems

hmmm, so ima revive this thread cause this is literally my life now. In average the phone on my desk rings about 10 times a day, since I'm new to the job, my senpai CIR has been real kind by picking up about 90% of the calls when we are both in the office. However this ain't gonna last long, days when it's only me in the office happens quite often and god I'm so baaaaad at this!!! I can never catch their name or 所属 both at once, and the 所属 always fly by long and fast, so I've paying my full attention to the name that comes after so I least when I transfer the call I have a name to say... So....how can I train myself to listen better, or what's a good way to take note when they speak full speed...

Gloriariaa few tips in an incoherent list form -pay attention to the phone calls that happen around you. listen in to how they speak, who typically calls for whom, what offices often call and about what. there are a lot of patterns if you start to pay attention. -it is no problem to confirm their name at the end of the call to make sure you have it. (hell, sometimes they dont even say it). saying something along the lines of 恐れ入りますが、もう一度お名前をいただけませんか。is typically the best/easiest way to ask. sometimes tho, even after asking again, you still cant catch it. that happens. you can either move on to my next tips or try asking again, probably adding すみません、電話がちょっと遠くて。。。 -it is also not a bad idea (if you have the time and mental 余裕) to confirm their name/課 to make sure you got it -especially for the first while, it is usually not a huge deal to not get all the info. native speakers have trouble sometimes. things to note, make sure you put them on hold while you talk the person you are transferring the call to (so the caller doesnt hear that you didnt get all the important info). and include as much as you can. なんちゃら国際何とかの木村?さんからの電話です。 typically, the person they are calling for knows who it is and they can fill in the blanks. more often than not, after being transferred, the caller will 名乗る again anyway hope that helps!

I used to have to answer phones at my old KA, but haven't answered a single time since I got transferred in April...

I second listening to and parroting other people’s phone language in the office (although most people here will use お世話様です and I’m not sure if that’s a bit too slangy so I’ve been avoiding that…).
The one thing I still can’t deal with though is random old people. There’s no kokusaika at my office, so I work in kikakuzaiseika, and the guy I share the phone with is in charge of the local buses. And he is always always away from the desk. Usually people will just say they’ll call back later. But occasionally I’ll get some elderly dude trying to call about when the next bus is or whatever and neither of us can understand each other well enough to move the call forward so they’ll usually just shout ‘HA? HA?’ until I pass the phone off onto someone else ><

the hardest part about answering phones for me is knowing who is the tantou. but nobody taught me how to transfer phone calls and I had to figure that out myself. still dreading picking up phones when nobody is around....

Not sure if I should put this here or in miff thread but. There's 9 people in my section and right now it's just me, the RINJI staff, and the SHITSUCHO in so we're doing rusuban for the others who are out. But the shitsucho and rinji staff won't answer the phones! They just kind of ignore it and I go over to answer it; if there's any reaction from them it's just "oh, thanks leita heheh". On one hand I've been in this office for about...half a year longer than our rinji staff and shitsucho but still. They don't understand the pains of answering phones as a non-native speaker. Shitsucho will take the phone call if I come over to him and ask for help, but he won't answer anyone else's phone even if I'm the only person left. SOS ;;

i hate answering phones
for the last performance(s) i was made LOOSEBAN for the whole day for 3 days so i was answering phone calls and leaving messages like nobodies business. maybe it was to test me? or punish me?
i still dont like doing it but i feel kind of... better about it now. i hate MAKING phone calls as well but now i dont care
small thing (but it was big for me) was when i stayed at a guest house in oki and one of the international staff told people that theres a karaoke place on the island we were on, but nobodies ever been because they dont know how to make reservations/speak japanese/are generally AHHH. i was like oh what no were doing this. and made reservations. and everyone was staring at me like i was superman for being able to call in japanese xD
everyone had a really good time. it was the first time for everyone except me/my hulemdos (including the international staff!!!) to do karaoke, and they were grateful that i could give them that experience. so im glad that im not anxious about that kind of stuff anymore.

I just finished JET as an ALT and now work as a non-JET CIR for my local City Hall.
I'm having a lot of trouble answering the phone and would love any advice you have about it. I find it basically impossible to catch the name of the caller/their company. Even when I ask them to repeat themselves, they say it so fast, so usually I'm only able to catch part of it.
I'm worried that I'm annoying my coworkers when I transfer the call but can't tell them exactly who is calling. Does it get easier? Or is there anything I can do to fix it? I don't have terrible listening skills in general, but still very nervous/uncomfortable using the office phone.

Just listen to as much Japanese in general as you can to build up your ear, but there are times when even native speakers cannot understand other native speakers, so don't feel too bad.

to your question, obviously keep practicing. dont get hung up on specific wording because there are lots of ways to say a specific thing. an example is when asking for the info you need. instead of asking "もう一度お願いします" its better to say お名前をもう一度うかがってもよろしいですか?/お願いできますか?(again, multiple ways to say it)
i suggest learning/practicing what to say when you dont catch all the information and watch your coworkers take/field calls and mimic their wording. i have seen my Japanese coworkers even transfer a call saying "○さん、どこどこ大学の田中?さんです。" or "○○課のま何とかさん"
its not the prettiest but it works (just make sure you put the person on hold or say it quietly so they cant hear you botch their name)
i feel like in most cases the person you are transferring to will know the caller or the caller will state their name again. one thing that could help is getting/making a list of companies/KAs that frequently call. that way they will be easier to hear and if you make a memo you can just circle it instead of trying to write it out
it will get better tho you will have days again where you completely fumble.
remember, you taking the call and awkwardly doing a hand-off is better than no one answering the phone.

so when the 内線 rings, I can't ever catch the 課 or whatever that's calling, but I might be able to catch the name. How can I ask them to repeat their 課 before transfering the call to my coworker?
Am I just overthinking it? I get nervous and default to telling my coworker 「どこかのOOさんからのお電話です」and then my coworkers will either chuckle or look annoyed that I didn't confirm which department the call is from ;-;
