Job Vacancy: A2(L), Programme Coordinator
This is an exciting opportunity for a full-time Programme Coordinator to work at the heart of the British Embassy in Tokyo for 3 months to play a leading role in planning and executing the visit of the Royal College of Defence Studies to Japan. The Royal College of Defence Studies (RCDS) is a UK military training academy. The college’s mission is to prepare senior officers and officials of the United Kingdom and other countries, and future leaders from the private and public sectors, for high responsibilities in their respective organisations, by developing their analytical powers, knowledge of Defence and international security, and strategic vision.
The purpose of the British Embassy in Tokyo is to promote the British Government’s prosperity, security and consular interests in Japan. The Defence Section funded by the UK Ministry of Defence (MoD) works on the defence and security partnership with Japan to safeguard UK national security and promotes prosperity.
Main Duties
• Lead on the RCDS programme, building a network of contacts in tandem with the Defence Attache and wider team with ministries, academics and the international defence community in Japan.
• Work with the Defence team and wider departments within Post to create a visit programme for the RCDS covering political, economic, and industrial and academia to provide an insight in to Japan and regional challenges.
• Lead on overall visit programme, arrange events, networking opportunities, receptions to meet the specific aims and objectives of the RCDS group.
• Provide all logistical support required for the Royal College of Defence Studies tour to Japan.
Requirements
• Be able to work with internal and external stakeholders, able to speak and write in English and spoken Japanese. As a guide TOEIC score 850 (or equivalent level for English, and to have passed the Japanese language Proficiency Test (JLPT) at level N2 (or equivalent level for Japanese).
• Previous experience of light touches Project Management (managing components of a large group visit programme). Experience in delivering visitor programmes ranging from compiling briefings, organising events to organising logistic elements.
• Knowledge of political, environmental and economic policies of Japan and the region in order to have a strategic awareness of the project and how to achieve its objectives.
• Innovative self-starter with ability to initiate work and see it through to completion, able to seek advice and assistance when necessary. You will have a cooperative and collegiate approach to working with colleagues in other teams.
• Able to communicate effectively with a range of contacts from a diverse range of sectors and ministries.
• Willing to travel within Japan for planning of the visit and be able to accompany the group during the tour.
• Good IT skills, particularly Microsoft Office (Word, Excel, Powerpoint etc)

• Managing a Quality Service: Actively seek and understand the needs and expectations of stakeholders/customers. Take ownership of issues, focus on providing the right solution and keep customers and delivery partners up to date with progress

Benefit package includes:
• This job is being offered from March to June full-time until 1st week of June.
• Flexible working opportunities as agreed with line manager and occasional out of hours working required for events in the evenings
• Full time: 0900-1700hrs (some flexibility required for evening events)
• Salary of JPY323,000 per month (calculated pro rata)
• Commuting allowance of up to JPY35,000 per month (paid on an actual cost basis)
