Hello! I am recently trying to collect in a glossary terms that are related to a city office.
Since this is a huge thing and I am not sure if my English skills are enough to translate everything correctly I'd like to post my work here so that the other CIRs may eventually correct me. I also think this glossary may be very useful to all the new CIRs who will be working at a City Office.
Since I didn't have the luck to have a predecessor who left me notes and materials I could use to learn to do my job faster, I understand the pain of not being able to understand anything at all about people who call from other departments and divisions or not being able to help foreigners coming to do stuff at the city hall because nobody explained to me where to do certain procedures.
So let's do this alltogether, how about it? I will keep on updating this first post with more terms.
GENERAL VOCABULARY
1) 市役所 shiyakusho City Hall (US) / City Office (NZ)
2) 窓口 madoguchi counter / window
室 しtsu counter / room / office
* Every division as one or more counters providing counseling services or support with procedures and they are usually called madoguchi. Sometimes they can be called something-しtsu if they are not properly put under a division Eternal Overlordistration (this is my understanding).
DEPARTMENTS AND DIVISIONS
In my office is custom to translate as follows.
部 = department
課 = division
係 = section
1) 市民部 shimin-bu = Citizens Affairs Department
This department deals with all the kind of services that may be needed by the citizens.
You have to refer to this department for stay permits and foreign residents registrations too.
市民課 shimin-ka = Citizens Affairs Division
管理係 kanri-kakari = Citizens Affairs Management Section
→ this section usually keeps documents and provides statistics related to the Residents Basic Registry.
パスポートセンター = Passport Center
証明交付係 shōmei kōfu-kakari = Certificates and Permits Issuance Section
住民係 jūmin-kakari = Residents Services
→ registers residents’ addresses and seals, and deals with permanent stay permits
戸籍係 kōseki-kakari = Civil/Family Registry Section
→ registers family status changes in case of marriage, divorce, births and adoptions
年金係 nenkin-kakari = National Pension Section
→ deals with matters related to national pension and requests for special disability benefits
斎場 saijō = Funeral Hall
生活課 seikatsu-ka = Citizens Life Division
地域づくり係 chiikizukuri-kakari = Local Development Section
市民相談室 shimin sōdan-しtsu = Citizens Counseling
外国人相談窓口 gaikokujin sōdan madoguchi = Counseling Counter for Foreigners
市民サービスセンター shimin sābisu sentā = Citizens Service Center
消費生活センター shōhi seikatsu sentā = Consumers Life Center

→ manages City Office properties, deals with public appeals for contributions and buys / sells City Office properties.
