So I thought I'd at least copy and paste the description of my event 参加者募集 process in the work threads before it gets buried in Plus and Minus, because it might be useful to someone some day. Also I noticed that I make a lot of separate threads for specific events but maybe it would be good to have a thread for general questions/thoughts about how to pull off 国際交流 events, so I guess I'll get it started.
What kind of events have you all put on that went over well? Any useful tips or tricks you've learned to make things go over smoothly? Events are a big part of my job but I've gotten slack about planning lately and I need inspiration. Please share!

I will most likely use this thread for any small event planning detail questions/tricks (but I'm going to make a Halloween planning megathread).
Maybe this could be like the translation help thread?! OH BOYYYY!
Anyway, to keep on topic...I have found success in getting kids to attend by basically figuring out who the people in the YAKUBA have kids so that they can contact fellow residents who have kids as well to attend. Passively advertising doesn't work as well as active SENGEN (as much as it is super awkward for me).

So now that Halloween and Thanksgiving are out of the way it's time for me to move on to Christmas. Last year I did Christmas Cookies (I made them ahead of time and had everyone decorate with icing and sprinkles), cut out paper Christmas trees for people to decorate, taught people how to make paper snowflakes, and had a Christmas themed Koto performance followed by gift exchange (guests brought gifts and then drew a number).
I won't have the koto performance this year so I'm trying to decide what to fill the time with. I could do another musical performance, but I was thinking something more interactive would be fun. Kind of going out on a limb here, but I was thinking it'd be interesting to get a bunch of little fake Christmas trees from Daiso and have a Christmas tree decorating competition or something like that.

pretty good but I was annoyed that I couldn't find any Christmasy sprinkles around (and am kicking myself now for not buying them when I was in America a few weeks ago). Also making the cookies took FOREVER. And don't forget that the dough needs to be chilled. Some of my cookies broke in transit too which was kind of annoying but overall it went well. some older ladies were like "you could make really amazing cookies if you put the icing in a tube etc." but that's not how I do it at home so whatever

help.
so we were supposed to have a Thai delegation coming in March, and we (the 国際交流協会) were gonna do an event with them they just cancelled on us today, so now i need to think of a March event idea.
here's the issue: i'm 入院ed the first week of March, bed rest the second, part time work the third week, and was told the fourth week is NG because it's right before the 移動
so it looks like we have to do it the third week, but my bosses are all worried about how i'll feel (and tbh idk how i'll feel but i'm pretty sure i'll be stir crazy by then), so it has to be a short event. they have nixed my idea about doing a 会員交流会 about St. Patrick's Day because they don't want me to drink (which i wouldn't have to do????? but okay????), and they seem opposed to doing a cooking class. do y'all have any ideas about what i could do for an event? possibly something with kids???

Hm well if they're worried about your condition I'm not sure anything that would have lots of kids is a good idea because large groups of kids can get quite wild (at least they do at my events, even with the parents there)
Can you do some sort of presentation? then it wouldn't be a problem if you had to do it sitting down and it could be fairly low key and short.

Why do you HAVE to do an event? I feel like with everything people would understand if you took March off. It's a busy time for everyone with the nendo change, anyway.

CaptainSeery that's a great question, but it seems it's mostly because we don't do one in April or May no yark shark you're probably right, kiddos might not be a good idea. just doing a presentation isn't something i've done. did you mean like a 講座? that might be something to pitch... it's looking like they're gonna let me do a cooking class where we make Irish stew and soda bread, so things might be okay

Hi hi So I'm trying to decide what to do for my final kid's event in June. May will be a cooking class and July will be my farewell party so this is the last real event I have to plan Most of the kids events I've done have been based around a holiday (Halloween, Christmas, Easter, and Valentine's Day) which is easy but obviously there aren't really any big holidays in June. Last June I did a "Summer Camp/Outdoors" inspired event where we made smores, leaf rubbings, and made picture frames out of popsicle sticks and seashells. It was actually kind of a shitshow because I miscounted the number of popsicle sticks I needed by half, and also didn't have enough help for the number of kids that were there. Anyways, anyone have ideas? I like to do crafts, and then usually something else (costume contest for halloween, christmas cookies for christmas, egg hunt and egg dying for easter, etc.)

hmm I don't know where I would be able to do that...I mean I know one place it'd probably work but the guy who owns it does summer camps so it's probably booked. Also I'm wary of outdoor events because you just can't do them if the weather is bad. Not to mention June is the start of the rainy season.

I’m interested in running a small scale model UN-type event. There are a bunch of guides online and if I can get some volunteer support it seems pretty doable. Has anyone heard of CIRs running any events like this?

by some kind of coincidence, the art center i work at (which hosts an artist in residence program) managed to create a haunted house out of the center in october (around halloween time!) last year. i asked if it would repeat again this year but it was just a one time event. speaking with folks who were around last year, it was super spoopy and fun.
halloween is my favorite time of the year, so i would LOVE to bring back the tradition, or maybe do a screening of horror/classic halloween films. theres an increase in foreigners coming to town because of the art center and general rise in tourism, so i think the event could really be a hit among locals and visitors alike. i know plenty of expats and locals who are thespians or otherwise are interested in film/dressing up/event planning, so it shouldnt be too hard to get the ball rolling on such a thing, would it? especially since something was already done last year... i'll try to look more into it. im just excited by initial prospects atm.

I need some CIR ideas!
So, there's gonna be a Kodomo No Hi event at the JCCCW in Seattle in May, and the Hyogo Seattle office (my office) are going to run a small tourism promotion booth, but we are also trying to think of some kind of fun activity or game that people could also do near the booth.
At past events our office has done 鯉のぼり釣り、輪投げ、and 紙相撲.
We could just recycle one of those, but if there are any other ideas that may be fun, we'd like to try those out as well.
The venue will be in a large building with several rooms with booths in them that participants will be walking in and out of constantly, so it needs to be something they can do for maybe a few minutes max, so that they can get on to wherever they wanna go next.
Probably nothing that would require teams or large groups.

No, but I think it's worth a shot. I've had the American CG from Kobe-Osaka tell me they were willing to send in guest speakers recently. I don't see why another embassy would refuse unless it's a budgetary issue.

I'm just trying my best to gather prizes for games without using budget. not much to add except I love Spaghetti Road XD His road trip from Denmark -> (almost) China is my travel dreams hue I feel like embassies (esp for countries that are active on the JET program) and familiar with JET/CIRs and would be helpful worth a try at least

I have a 世界のバレンタイン event at a 児童センター on the 12th during which I need to come up with and do a バレンタインに関連する遊び.
It needs to be for about 30 mins.
What kinds of Valentines related 遊び can you guys think of that would take up 30 mins?
All I remember doing during valentines as a kid was writing valentines cards for hulemdos, but 1) that's not really an 遊び and 2) it creates the possibility that some kids don't get any from anyone.
I'm racking my brain here y'all. HERUPU MIIIII

I was told the target age would be 小3-小6, so prepared accordingly...but it was mostly kindergartens that ended up coming orz that aside, I did a general America bunka shokai and then added information about Valentines Day in the US -- exchanging gifts among hulemdos, giving flowers/stuffed animals/jewelry and not just chocolate, some of the symbols and phrases used, things like conversation hearts, and "galentines." I think I killed around 20 minutes on that but it could have been shorter. then I had games/activities, which were not necessarily valentines-related except for the way I themed them hue. 1. I had the kids race from one end of the room to the other while balancing Hershey's Kisses on plastic spoons, like an egg race but less messy. 2. I divided them into small groups and did Pictionary with Valentines words like "present" "date" "chocolate" etc. 3. I also prepared a bunch of paper hearts of different colors, then cut in half with a jagged line and wrote the same number on both halves for easy matching, and shuffled up the halves and passed them out at random. The kids had to find the person holding the other half of their heart in order to form pairs. 4. Then, I had them make cards and exchange them with the partner they matched with. Hope this gives you some ideas...I also had a hard time planning the event but I think it ended up well enough!

Just remembered, I also taught the kids the Cupid Shuffle (using a Youtube video to help cuz im not much of a dancer myself) and everyone danced to the song together. I had the Cha Cha Slide on deck as well as a time-killer but didn't end up using it hue.

If you're looking for some craft ideas, you could print out some American-style valentines day cards for the kids to color, or make origami hearts together.

The American style valentine cards for drawing sounds fun and like it would take lots of time. Anything origami related however is completely DAH-MAY for me unfortunately. I've been taught how to do the standard crane probably a hundred times now, but couldn't do it even if you put a gun to my head, hue
